Bethalia Management Portal × UpBuff — one integrated portal for business operations and delivery management, connected with SAP ERP.

Introduction: Who is Bethalia?

Bethalia is a global enterprise specializing in international trade, supply chain management, logistics, and large-scale distribution operations. With multiple business entities, warehouses, suppliers, and field sales teams operating across regions, managing day-to-day operations became increasingly complex.

As business operations expanded, Bethalia required a centralized platform capable of integrating operational execution with SAP ERP while providing real-time visibility across departments and entities. To address these challenges, Bethalia approached UpBuff to build and manage an integrated business portal that could streamline operations, automate workflows, and centrally manage the entire business ecosystem.

The Legacy Era: How Business Was Managed Earlier

Before the implementation of the Bethalia Management Portal, business operations were managed using multiple software systems along with SAP ERP. However, the existing setup was not capable of efficiently handling the growing operational complexity of the organization.

Although SAP ERP managed core business and accounting data, many operational activities were still handled through multiple disconnected software systems. The lack of proper integration between systems created operational gaps between field execution and enterprise-level management.

Major Operational Challenges

Bethalia faced several operational challenges due to disconnected systems and manual workflows. These included:

  • Siloed data across departments leading to delayed and inconsistent information flow
  • Human errors, delayed reporting, and financial inconsistencies
  • Lack of real-time visibility into vansales, warehouse, dispatch, and logistics operations
  • Difficulty in centrally tracking business activities and operational performance
  • Delayed operational updates and poor interdepartmental coordination
  • ERP execution gaps where operational activities such as vansales, warehouse picking, packing, route execution, and delivery tracking were not fully integrated with SAP ERP
  • Stock mismatches, reconciliation issues, and operational inefficiencies caused by disconnected processes

These challenges significantly affected operational efficiency, business visibility, and overall coordination across the organization.

The Breaking Point: Bethalia’s Core Pain Areas

As Bethalia expanded globally, managing operations across multiple entities, warehouses, vansales teams, customers, and suppliers became increasingly complex. The lack of proper integration between multiple software systems and SAP ERP created operational inefficiencies that affected productivity, visibility, and financial control.

Infographic of Bethalia's core pain areas — the intercompany tangle between Entity A and Entity B with duplicate entries and stock mismatches, the black-box vansales operation disconnected from central management, and warehouse & dispatch challenges with slow order verification, plus a bottom strip of five challenges: siloed data, human errors, lack of real-time visibility, delayed updates, and ERP execution gaps & stock mismatches
Bethalia's core pain areas — the intercompany tangle, the "black box" vansales operation, and warehouse & dispatch challenges.

A. The Intercompany Tangle

Bethalia managed daily transactions between its entities, suppliers, and business partners, including stock transfers, purchase requests, invoices, and financial adjustments. Since these activities were handled across disconnected systems, the process involved duplicate entries, delayed reconciliation, stock mismatches, and limited visibility into real-time transactions. This created operational confusion and increased financial coordination efforts.

B. The “Black Box” Vansales Operation

Bethalia’s vansales teams operated across multiple regions and supplier product lines. However, field activities were not properly connected with the central management system, making it difficult to track real-time sales, stock movement, collections, and route activities. Managers had limited visibility into field operations, resulting in delayed updates, stock shortages, and reduced operational control.

C. Warehouse & Dispatch Challenges

Warehouse operations handled inventory and dispatch activities for multiple suppliers and entities, but the process lacked proper validation and tracking mechanisms. Order verification was slow, and supplier inventory tracking became difficult. These issues affected warehouse accuracy, operational efficiency, and customer satisfaction.

The UpBuff Solution: The Central Command Center

UpBuff designed and implemented the Bethalia Management Portal not simply as software, but as a complete operational transformation platform. The portal became a centralized digital ecosystem where all departments, business entities, warehouses, vansales teams, suppliers, and customers operated through a single integrated platform.

The system was deeply integrated with SAP ERP to ensure real-time synchronization between operational activities and enterprise-level business data. By connecting multiple business processes into one centralized solution, UpBuff helped Bethalia streamline operations, improve visibility, and enhance overall operational efficiency.
